AskTheo Guide
Everything you need to get started from asking your first question to uploading your own data.
Getting Started
Overview
AskTheo helps you explore your organisation's data and turn it into clear answers, tables, charts, reports, and downloadable files.
Choose the dataset you want to work with, enter a prompt, and AskTheo will help you find the answer.
This guide is organised around the five main AskTheo areas:
- Chat
- Training Data
- Ingest
- Canvas
- Admin
There are also supporting sections for account setup, the interface, profile settings, troubleshooting, and glossary terms.
Your Invitation
AskTheo is invitation-only.
You need an invitation from your organisation before you can create an account. An administrator will send you a personal invitation link.
Invitation links are connected to your email address and may expire after a set time. If your link has expired, ask your administrator to resend the invitation.
Creating Your Account
Open your invitation link and follow the registration steps.
You may be asked to enter:
- First name
- Last name
- Work email
- Password
- Company
- Job title
Your email address may already be filled in and locked. This means the invitation was created for that email address and it cannot be changed during registration.
Password Requirements
- At least 8 characters
- At least one uppercase letter
- At least one lowercase letter
- At least one number
- At least one special character
You must also accept the Terms of Service and Privacy Policy before your account can be created.
After registration, AskTheo may ask you to verify your email. Check your inbox and follow the verification link if prompted.
Logging In
- 1Go to the AskTheo login page.
- 2Enter your work email.
- 3Enter your password.
- 4Click Sign in.
Depending on your organisation, you may also see:
- Continue with Google
- Continue with Microsoft
- Continue with SSO
If your email is connected to more than one organisation, AskTheo may ask you to choose which organisation you want to enter before continuing.
Forgotten Password
- 1Click Forgot password?
- 2Enter your work email.
- 3Click Send reset link.
- 4Open the email from AskTheo.
- 5Click the reset link.
- 6Enter a new password.
- 7Return to the login page and sign in.
If the reset link has expired, request a new one.
Session Expired
If your session expires while you are using AskTheo, you may be sent back to the login page. Sign in again to continue.
If AskTheo warns you that your session will expire soon, refresh your session or save any work you are doing.
Interface Overview
Main Layout
Once you sign in, AskTheo uses the same basic layout across the app.
The main screen includes:
- Header bar — tabs, dataset selector, and profile menu
- Main workspace — the area you are currently using
- Side panels — available in some areas, such as Chat history and activity details
Header Bar
The header bar runs along the top of the app. It includes:
- The AskTheo logo
- The main navigation tabs
- The dataset selector
- Your profile menu
Main Areas

Chat
Starting a Conversation
Chat is where most users spend their time. Use Chat to ask questions about datasets, explore results, create charts, generate reports, and review previous conversations.
- 1Open the Chat tab.
- 2Choose the dataset you want AskTheo to use.
- 3Enter your prompt in the input bar at the bottom.
- 4Press Enter or click the send button.
Example prompts:
- "What are the main findings from this dataset?"
- "Compare satisfaction by age group."
- "Show me a chart of results over time."
- "Which brand performed best this quarter?"
- "Summarise the differences between men and women."
To start a fresh conversation, click + New question in the history panel.
Choosing a Dataset
A dataset is the information AskTheo uses to answer your question. Use the dataset selector at the top of the app to choose which data AskTheo should use.

- 2Browse the available folders.
- 3Click the dataset you want to use.
- 4Click Apply.
After you apply the selection, AskTheo uses that dataset for new questions.
Selecting Multiple Datasets
Some questions may use more than one dataset. You can select multiple datasets when needed. One dataset may be marked as the main or base dataset. AskTheo treats this as the primary source.
Use multiple datasets when you want to compare sources or combine related information.
Clearing Dataset Selection
- 1Open the dataset selector.
- 2Click Clear all.
- 3Click Apply if needed.
If no dataset is selected and you try to ask a question, AskTheo may ask you to select at least one dataset before continuing.
Response
- 1Your question appears in the conversation.
- 2AskTheo shows that it is working.
- 3AskTheo gathers the relevant context.
- 4It may run analysis in the background.
- 5It returns an answer.
A response can include:
- A written explanation
- A table
- A chart
- A downloadable file
- A report
- A confidence note
- Suggested follow-ups
While AskTheo is working, you may see a progress or synthesising indicator. If the activity panel is open, it may show the steps AskTheo is taking.
Writing Better Questions
The more specific your prompt, the better the answer.

Strong prompts usually include:
- The topic — what you want to know about
- The group — who or what you want to compare
- The time period — when the analysis should focus on
- The format — summary, table, chart, dashboard, or report
You do not need a long prompt. Short, direct prompts often work well.
Input Bar Tools
The input bar includes tools that change how AskTheo handles your prompt.

Attach Files
- 1Click the attach button.
- 2Choose a file from your computer.
- 3Confirm that the file appears as an attachment.
- 4Enter your prompt.
- 5Send the question.
Voice Mode
- 1Click the microphone button.
- 2Allow microphone access if your browser asks.
- 3Speak your prompt.
- 4Click the microphone again to stop.
- 5Review the text.
- 6Send the question.
Model Selection
AskTheo may allow you to choose a model. For most users, the default model is recommended. Only change the model if your team gives you guidance or if you need a different balance of speed, depth, or detail.
Deep Search
Deep Search is for prompts that need a more thorough answer. Use it when you want AskTheo to look across many parts of a dataset, cross-check findings before answering, or produce a more detailed explanation.
Deep Search may take longer than a normal response. Use it for important analyses, not quick lookups.
World Mode
World Mode allows AskTheo to use wider external context, not only the selected dataset. Leave World Mode off when you only want AskTheo to use your selected dataset.
Reports
Use Reports when you want a more structured output. Reports may be useful for longer summaries, dashboard-style answers, cross-tab analysis, shareable reports, or more polished output.
Feedback on Answers
AskTheo may ask: Were the results correct?
You can choose Yes if the answer looks correct, or No if the answer seems wrong. You may also see Copy, Like, Dislike, and Read aloud.
If you click No, AskTheo may open a feedback panel where you can explain what was wrong:
- Wrong data
- Missed the question
- Incomplete answer
- Incorrect source
- Other issue
This feedback helps improve future answers.
History
The history panel shows your previous conversations. Use History to:
- Reopen a past conversation
- Search previous questions
- Pin important conversations
- Rename a conversation
- Delete a conversation
- Share a past conversation
Starting a New Conversation
Click New question to start a fresh conversation. This clears the current thread and lets you ask a new question.
Searching History
Use the history search box to find a past conversation by keyword.
Pinning a Conversation
Pin a conversation if you want it to stay near the top of your history. This is useful for important or frequently used analyses.
Deleting a Conversation
If you delete a conversation, AskTheo may ask you to confirm. After deletion, the conversation is removed from your history.
About a Dataset
Use About when you want to understand a dataset before asking questions. The About view may include:
- Dataset name
- Description
- Respondent count
- Variables
- Sections
- Demographics
- Confidence
- Suggested questions
Suggested questions help you get started with a dataset. Click a suggested question to load it into Chat. You can edit it before sending.
Sharing a Conversation
Use Share when you want someone else to view a conversation. You may be able to choose:
- Private sharing
- Public sharing
- Password protection
- Expiry time
- 1Open the conversation.
- 2Click Share.
- 3Choose the sharing settings.
- 4Copy the link.
- 5Send the link to the intended person.
If password protection is turned on, copy the password and send it separately.
A shared conversation is read-only. Visitors can usually read the conversation, copy text, download charts, react to answers, and use read-aloud. Visitors cannot continue the conversation from the shared view.
Training Data
What Training Data Is For
Training Data is where examples and notes are added to help AskTheo answer better. This area is mostly used by analysts, data managers, and administrators.
Training Data may include:
- Documentation
- SQL examples
- DDL or schema information
- JSON files
The more accurate guidance AskTheo has, the better it can answer future questions.
Adding Training Data
- 1Open the Training Data tab.
- 2Click Add Training Data.
- 3Choose the type, such as SQL, Docs, DDL, or JSON File.
- 4Pick the dataset it applies to, if needed.
- 5Add the question, example, note, or explanation.
- 6Click Save.
Searching and Filtering
The Training Data tab lists the entries you have access to. To find a specific entry:
- Use the search box to filter by keyword
- Use the type filters to show All, SQL, Docs, or DDL
Assigning Training Data to a Dataset
Some training data applies to one dataset. Other training data may apply more widely. When adding or editing training data, choose the dataset it should apply to if that option is available.
Removing Training Data
To remove an entry, open it and click Remove.
Only remove training data if you are sure it is no longer needed.
Ingest
Browsing Datasets
Ingest is where datasets and files are stored, reviewed, uploaded, and managed. Most users only need to browse this area.
The Ingest sidebar shows folders, datasets, and files. You can:
- Search by name
- Filter by dataset type
- Expand and collapse folders
- Select a dataset or file
Viewing Dataset Details
When you select a dataset, AskTheo may show:
- Overview
- Data Profile
- Data Mapping
- File contents
- Setup progress
- Quality checks
- Suggested questions
Click any suggested question to load it into Chat. You can edit it before sending.
Uploading Files
If your role allows uploads:
- 1Open the Ingest tab.
- 2Select the folder or dataset you want to add to.
- 3Drag files into the upload area, or click Browse.
- 4Wait for the upload to finish.
Supported file types may include:
- CSV
- XLSX
- DOCX
- TXT
- MD
- SPSS
Large files or unsupported file types may be rejected.
Mapping and Review
After upload, a data manager may need to review how the file is mapped. This may include:
- Choosing columns
- Adding a title and description
- Selecting demographic fields
- Mapping fields
- Choosing weights
- Confirming values
- Starting ingestion
Most users do not need to complete this process unless instructed.
Upload Errors
If an upload fails, check that:
- The file type is supported
- The file is not above the size limit
- You are online
- You have permission to upload to that folder
- The file is not corrupted
Email Intake
When Email Intake is enabled on a folder, that folder gets its own dedicated email address. Send files to this address and AskTheo processes them just like a manual upload.
Email Intake is available to non-trial users and is configured per folder.
New Folder
- 1During folder creation, toggle Email Intake on.
- 2Enter an alias for the email address.
- 3The email address will be:
alias@justasktheo.com
Existing Folder
- 1Select the folder in the File Tree.
- 2Toggle Email Intake on in the folder settings.
- 3Enter an alias for the email address.
Processing Pipeline
After upload, each file goes through a processing pipeline to become queryable:
- 1Upload — file is received by the server
- 2Analyse — AskTheo examines the file structure and content
- 3Prepare — data is indexed and made queryable
- 4Ready — the dataset is available for queries
You can re-trigger the Analyse and Prepare stages by clicking the refresh icon next to the file. This is useful if you've updated training data.
Canvas
Pinning a Chart to Canvas
Canvas is where you save charts from Chat. Use Canvas when you want to collect useful charts for later review, reporting, or presentation.
- 1Ask a question in Chat.
- 2Wait for AskTheo to create a chart.
- 3Click Pin on the chart.
- 4Open the Canvas tab.
- 5The chart appears there.
Canvas Views
Canvas may let you switch between:
- Org — charts shared with your organisation
- Private — charts only visible to you
Editing Charts
Click a pinned chart to manage it. Available actions may include:

Downloading to PowerPoint
Canvas can export saved charts into a PowerPoint deck.
- 1Open Canvas.
- 2Click Download PPTX.
- 3Save the file when it downloads.
You may also see Upload Template, which lets your organisation use a branded PowerPoint template for future exports.
Admin
Admin Overview
Admin is only visible to users with administrator access. Admin opens as a window over your current tab, so you do not lose your place.
Use Admin to:
- View organisation account information
- Manage active seats
- Invite new users
- Change user roles
- Disable or remove users
- Turn features on or off for the organisation
Inviting Users
- 1Open Admin.
- 2Enter the user's email address.
- 3Click Invite.
AskTheo sends them an invitation link.
Managing Users
For each user, an administrator may be able to:
- Edit their role
- Resend their invitation
- Disable their account
- Remove them
For actions that affect access, AskTheo may ask you to confirm first.
Managing Features
Administrators may be able to turn features on or off for the organisation. Changes apply to users who have access, usually the next time they load or refresh the app.
Profile Menu
Profile Menu Options
Use the profile menu to access account-level options. You may see:
- Dark Mode or Light Mode
- Language
- Admin
- About
- Report Issue
- Log out
Changing Theme
Click Dark Mode or Light Mode to change the appearance. AskTheo remembers your choice.
Changing Language
If language options are available, choose your preferred language from the profile menu. AskTheo may support multiple languages depending on your organisation's setup.
Logging Out
Click Log out from the profile menu. AskTheo ends your session and returns you to the login page.
Troubleshooting
I Cannot Log In
Check that:
- You are using your work email
- Your password is correct
- Your invitation has not expired
- Your organisation has given you access
- You selected the correct organisation, if prompted
I Cannot See a Dataset
Possible reasons:
- You do not have permission
- You are in the wrong organisation
- The dataset has not been uploaded yet
- The dataset is private to someone else
- A filter is hiding it
Try clearing filters or ask your administrator for access.
I Am Offline
If your connection drops, AskTheo may disable actions that need the server. When your connection returns, you can continue using the app.
Terms and Privacy
What happens when my data is deleted?
AskTheo handles two categories of data on different deletion timelines.
- Inputs you submit — your queries, prompts, or other content — are deleted within 90 days of collection. HarrisX retains these inputs only as long as needed to operate and troubleshoot the Trial.
- Usage and technical data — such as your IP address, browser type, session activity, and error logs — is retained no longer than 24 months after your Trial access ends, unless a longer retention period is required by law.
You can also request deletion of your personal information sooner by emailing HarrisX at privacy@harrisx.com.
Your Regional Rights
Your specific rights depend on where you live:
- California residents have deletion rights under the CCPA/CPRA.
- EU and UK residents can exercise the GDPR "right to be forgotten."
- Canadian residents can withdraw consent under PIPEDA.
Each of these rights is subject to certain legal exceptions. Withdrawing consent or requesting deletion may affect your continued access to the Trial.
Do you use my data to train anyone else's models?
No. HarrisX does not use the inputs you submit to AskTheo to train, fine-tune, or otherwise improve AskTheo's underlying models or algorithms. Your data is not sold, and it is not shared with third parties for training purposes either.
HarrisX personnel may access your inputs only for the purposes of operating, troubleshooting, and securing the Trial.
Limited, Non-Training Disclosures
Information may be shared in a few limited, non-training circumstances:
- With service providers such as cloud hosting, analytics, and security vendors that are bound by confidentiality obligations.
- Where required by law, court order, or a regulatory authority.
- As part of a corporate transaction such as a merger or acquisition, in which case equivalent privacy protections apply.
